Workflow links are the driving force behind creating workflows in Cognito Forms. Sent via email, you can think of these links as the means to which any work gets done. When an individual within your workflow is sent a workflow link, they’re able to access role-based entry data as well as perform available actions on an entry.
You can control when these links are available, as well as who has access to them, through Workflow Link Sharing. And as you’re automating email notifications across your workflow, you’ll find you can easily send a workflow link with the right data, to the right person, at the right time.

Send workflow links
With workflow link sharing enabled on your form, you can send your users customized links to your entries that allow them to make changes, to perform actions or to just review their information. You can also choose whether you want to share a direct link to the entry, or send an email to the user with the link included.
Create a workflow
Workflow link sharing also provides you with many different workflow options:
- Send workflow link emails automatically, so users have instant access to their entries after they submit them.
- Set the availability of workflow links to change depending on whether certain conditions on your form are met; for example, allow a user to edit and resubmit their entry multiple times, or restrict them from editing after the first time they resubmit.
- Users can share their workflow links with whoever they want, providing the opportunity for collaboration.
